We Can Cancel or Reject Bookings that Don’t Meet Our Requirements

Cayman Villas reserves the right to reject or cancel bookings if they do not meet our requirements, our Terms & Policies, or the requirements of the property. When booking our properties, all Guests and Agents agree to our Terms & Policies and agree to provide Cayman Villas with their or their client's relevant information to complete the booking as required.

All bookings with properties that Cayman Villas exclusively represents are subject to the policies listed below:

Bookings Must Be Made By a Guest Aged 25+

To book a Cayman Villas property the client/guest must be 25+ years and be a guest staying at the property. Proof of age will be required, and ID is required to confirm the credit card used for payment upon booking. Children aged 2 and under stay for free. Please note that White Sands 11 does not allow children 8 and under.

A Credit Card Must be Provided with All Reservations

The following credit cards are accepted by Cayman Villas: MC, Visa and Discover only. American Express is not an accepted credit card. Company or personal cheques are NOT ACCEPTED, only Bank Drafts or Cashier Checks are accepted. Online transfers and wire transfers are also accepted - please contact us for details. A valid Credit Card MUST be provided with all reservations, regardless of payment method, as this is required for the Refundable Damage/Security Deposit.

We Require a 50% to 100% Deposit to Confirm a Reservation

We require a 50% deposit to confirm a reservation, if more than 30 days (60 for Christmas and New Years) prior to the arrival date. We require full payment on reservations, if the booking is within 30 days (60 for Christmas and New Years) of arrival date, or if the stay is less than 7 nights.

Refundable Damage/Security Deposits are Required on All Bookings

All Cayman Villas properties require a refundable security/damage deposit, which is taken on the day of arrival, on a valid credit card, excluding American Express. The security/damage deposit will be held on file for the duration of the guests' stay. On the day of departure, the Property Manager and Housekeepers will do a thorough inspection of the property, and notify Cayman Villas of any damages, missing items or if any additional cleaning is required. If the property is left in exactly the same condition on departure, that it was found on arrival, then the security/damage deposit will be refunded to the guest's card on file, within 72 hours of departure. If damages are found, that have not been reported to the Property Manager during the guests' stay, then photos will be taken (where appropriate) along with the cost to repair or replace, and the guest will be notified via email. If the damages exceed the security/damage deposit being held on file, then Cayman Villas will charge the credit card on file for the additional amount required.

Holiday Periods Are Subject to Different Booking Policies

Holiday booking requirements: 7 night minimum for all properties. The exception to this policy is that full payment is required at the time of the booking and is non-refundable, within 60 days of arrival. A 7-night stay cannot include Christmas Day and New Years Day. If you wish to stay for both holidays - 25th December and 1st Jan - then we will require a 14-night minimum stay.

For the Easter holidays, we require a 7-night minimum stay (some properties will accept a 5-night booking). Our Cayman Villas Booking Form must be completed, including the client credit card billing address, and a signature is required on all pages of the Booking Agreement. Should you choose to book online, please note that your credit card will not be charged until we have reviewed the booking to ensure it meets all our terms and policies for the property and you have given your authorization to proceed with the booking of a 50% or 100% payment, and confirmed that you have read all our Terms and Policies.

For bookings over 7 nights, made more than 30 days before the arrival date (60 days for Christmas/NY), we require a 50% deposit, with the final payment due 30 days (60 days for Christmas/NY) prior to the arrival date.

Please Note: the credit card on file will automatically be charged for the final balance unless Cayman Villas is advised otherwise. Should you decide to change credit cards, after the final payment has been taken, then you will be subject to credit card fees and any expenses incurred by Cayman Villas.

For all bookings, less than 7 nights or made less than 30 days prior to the arrival date (60 days for Christmas/NY), 100% payment is due to confirm a booking. The Confirmation Form MUST be signed on all pages, by the client and returned to Cayman Villas.

Booking Changes Are Subject to a $250 Revision Fee

There will be a US $250 fee for every change or revision made to a confirmed booking: this is waived if the length of stay is extended. NO REVISIONS are permitted with less than 30 days' notice, unless specifically approved by Cayman Villas. All revisions are dealt with on a case-by-case basis.

All Properties Have High Speed Internet & Telephone Service but Cayman Villas is Not Able to Guarantee this

All properties that Cayman Villas represent have wireless high-speed Internet service or Wi-Fi and a Telephone or Cell Phone available for guests use. These properties use FLOW, DIGICEL, LOGIC or C3 as their local service provider here in the Cayman Islands. The Property Manager is responsible for making every effort to ensure that the Internet/Wi-Fi is functioning properly prior to your arrival. However Cayman Villas cannot make any guarantees that the Internet/Wi-Fi/Telephone will work ALL the time. If the Internet/Wi-Fi/Telephone is not working properly during your stay, then we, and your Property Manager, will make every effort to restore the connection but again, we cannot make any guarantees, as the service is provided by an outside entity/provider, so it is ultimately their responsibility. If there is a technical problem that cannot be solved, Cayman Villas will not be held responsible for any Internet service provider or any other technical problem. Furthermore, Cayman Villas is not obligated to refund you any money if there is any type of problem with the Internet/Telephone service. This is however dealt with on a case-by-case basis.

Flight Details Must Be Provided Within 7 Days of Guests Arrival

All guests' flight arrival and departure details must be provided to the Cayman Villas offices within 7 days of your arrival date. Cayman Villas will require your flight number and arrival time, so that we can monitor flights to ensure they arrive on time. Upon receipt of your flight details, we will be able to email you the correct and relevant arrival information and let you know where to collect your arrival/check-in package.

PLEASE NOTE THAT ALL CAYMAN VILLAS PROPERTIES HAVE A STRICT CHECK-IN TIME OF 4PM and A CHECK-OUT TIME OF 10AM. GUESTS MUST CONTACT OUR OFFICES TO REQUEST AN EARLY CHECK-IN OR LATE DEPARTURE AND IF THIS IS AUTHORISED THEN YOU WILL BE NOTIFIED IN WRITING. IF GUESTS ARRIVE AT THE PROPERTY BEFORE 4PM AND IT IS NOT READY THEN CAYMAN VILLAS NOR THE PROPERTY MANAGER WILL BE HELD RESPONSIBLE.

There is a Minimum Stay Requirement For Holiday Periods

Holiday booking requirements: 7-night minimum stay for all our properties. If you wish to stay for both holidays (Christmas Day - 25th December and New Year’s Eve – 31st December) then properties may require a 14-night minimum stay. For the Easter and Thanksgiving holidays, a 7-night minimum stay is required for most of our properties. Some of the smaller properties may accept 5 nights, but you will need to contact us for confirmation.

Reservation Confirmation and Payment is Required Within 24 Hours after placing a TEMPORARY HOLD on a Property

Once you have contacted Cayman Villas and decided on which property you would like to book, we can place a 24-hour courtesy hold on the property for you. We will then send you the Booking Form, and your condo or villa will be placed on a 24-hour TEMPORARY HOLD, until the completed Booking Form is signed and returned to one of our Travel Specialist. Payment will then be processed on the credit card provided to Cayman Villas and a Confirmation Number will be issued and displayed on your confirmation form. You will also receive an automated email with all the relevant reservation details, and we ask that you read, sign, confirm and return the completed Confirmation Form to us via email. Please note that every page of the Booking Agreement must be signed by the person making the reservation and by the credit card holder. A photo ID, of the credit card holder, will also be required to confirm the reservation.

Payment is Required Within 24 Hours in Order to Confirm your Reservation

Payment will be taken after we have communicated with you, once the credit card details have been provided, and both parties have agreed to all the details of the booking agreement. No additional fees, to the quoted rate, are charged by Cayman Villas for credit cards, however, please be aware that your card issuer may charge for international transactions, so please be sure to check with them before providing us with your card details.

Your personal information is confidential and is securely held in our reservation software. We recommend you familiarise yourself with our 'Minimum Stay' and 'Terms & Policies', which can be found on our website within the Terms and Conditions listed above and below. This act constitutes a rental agreement only and is not a legally binding contract. It is subject to errors and omissions in availability, pricing and terms, and is subject to withdrawal without notice.

Cayman Villas is purely a marketing and booking agency for short term vacation rental properties

Cayman Villas operates strictly as a Marketing and Booking Agency for rental properties located in the Cayman Islands. Cayman Villas neither owns or manages individual properties. It is exclusively a Booking Agency with NO liability for any physical or financial injury sustained by guests during their stay. In the very unlikely event that a contracted villa is either unavailable or uninhabitable for a guest’s stay (for whatever reason), Cayman Villas will make every effort to obtain similar (or better) accommodations for the guests (subject to their approval). Cayman Villas maintains strong relationships with other on-island managers, homeowners, other villa-rental agents, and the Cayman Islands Tourism Department. However, should acceptable accommodations not be found, the limit of financial liability for Cayman Villas will be a prompt, full refund of all monies paid OR an alternate stay at the subject property (at the choice of the guest). Evacuation, or partial-stays, due to hurricanes will result in refunds of up to the total amount of the rental charge, prorated by number of nights stayed. Hurricane-related cancellation benefits are limited to hurricane “warnings” (not “watches”) that affect the Cayman Islands.

No Refunds within 30 Days of Booking (60 Days for Holiday Periods)

For cancellations made less than 30 days (or 60 days for Christmas and New Year bookings) before the arrival date, please note that no refund will be provided. However, a refund, less the booking costs (US $250 cancellation fee plus a 4% Administration Fee), will be warranted, at our discretion, if the property is re-booked by a paying guest for the same cancelled dates.

Cancellations Made More Than 31 Days Before Arrival (61 for Holiday Bookings) Are Subject to Fees

Cancellations made more than 31 days from the arrival date (61 days for Holiday Bookings), will be given a refund of the deposit payment made, less the US $250 cancellation fee and a 4% credit card fee (calculated on the total amount processed on the credit card). No refunds will be given for any late arrivals or early departures.

Disclaimer

Please note that no refunds are given for issues that are out of our control, such as the weather; beach erosion; changes made to the exterior landscaping or general exterior areas of a private villa or a condo complex. Cayman Villas does our best to ensure the interior and exterior photos of all the properties that we represent are as up to date as possible. If an owner informs Cayman Villas of upgrades/renovations/or major changes to the interior of their property, Cayman Villas encourages them to have new photos done for the website listing immediately. However, if Cayman Villas is not made aware of these changes, the property could be different than what is shown on the website. Any issue that is controlled by ‘mother nature’ is beyond our control and Cayman Villas cannot be held responsible or liable.

Travel Insurance Recommended

We highly recommend that all our confirmed guests purchase Travel Insurance prior to embarking on their vacation. Travel Insurance cannot be purchased on arrival into the Cayman Islands. We Retain the Right to Transfer Your Booking to Alternative Property if Necessary

In unforeseen situations only, it may be necessary to transfer guests to an alternative property/unit of equal or superior standard. We will notify the guest as soon as possible if this situation occurs (e.g.: property is sold, or damaged, or unforeseen situation arises). Please note that Cayman Villas will notify guests as soon as we are informed of any issues, and Cayman Villas cannot be held liable for any unforeseen situations, but we will do our very best to relocate guests to suitable alternative accommodations.

Costs for Damage, Smoking or Unauthorised Pets or Parties Will Be Made to Your Card on File

The cost of any damage incurred by a guest staying at the property will be debited from the credit card on file. The guests will be notified, and pictures sent, along with proof of the cost to repair or replace any items damaged/missing during the stay. ALL CAYMAN VILLAS PROPERTIES DO NOT ALLOW SMOKING OR PETS OR PARTIES. If it is determined that a guest has been smoking in a property, or has brought an unauthorized pet, without our knowledge or permission, this will result in an automatic charge of US $1,000, which will be debited from the guest's credit card on file.

Cayman Villas is Not Liable For Any Loss, Damage of Injury

Cayman Villas, the Property Manager, and the Property Owner are not liable for any loss, damage or injury incurred to guests during their stay. All CV properties are licensed by the Cayman Islands Hotel Licensing Board (HLB) and the Department of Tourism (DOT). Rental Restrictions: NO SMOKING, NO PETS AND NO PARTIES OR ADDITIONAL GUESTS are permitted at any Cayman Villas property without prior written approval from Cayman Villas. Cayman Villas is not liable for any pet, smoking or party issues that may occur, but we are duty bound to the owners to ensure that all necessary arrangements are made to return the house to the condition it was prior to the guests' arrival. Guests staying in a Cayman Villas property may choose to invite visitors to come to the villa during their stay, but those guests are not permitted to stay overnight, unless Cayman Villas and/or the Property Manager is made aware via email and permission is given in writing prior to the date of arrival of said additional guests.

Exceeding the maximum number of guests allowed to stay at your confirmed property may incur additional charges. Guests agree to use the property for private, family and vacation purposes only and are not permitted or authorised to sublet, convey use to a third party or use for any business purposes or transactions.

Little Cayman Guests Require Airport Transfers

For Blossom Village Cottage - your Property Manager will provide airport transfers to and from the villa, as this is included in your rental rate, however, it is your responsibility to ensure that either Cayman Villas or your Property Manager (contact details listed on your confirmation form) is made aware of your flight arrival and departure times within 7 days of your vacation.

For all other properties in Little Cayman, you MUST make your own arrangements for transportation to and from the villa. Your Property Manager IS NOT RESPONSIBLE FOR TRANSPORTING YOU TO AND FROM THE AIRPORT. Fees and Booking Changes Possible If Your Flights are Cancelled

If your flights to Grand Cayman/Little Cayman are cancelled, you must provide Cayman Villas with proof of cancellation, provided by the airline. Cayman Villas will do our best to accommodate your stay for alternative dates, subject to the availability of the property. Alternatively, we will hold your funds on file for 6 months and apply them to a future booking, at the same property, subject to availability, less a US $250 revision fee. Cayman Villas has the right to assess each reservation on a case-by-case basis, as we understand there are varying reasons for flight cancellations.

The Cayman Islands official 'Hurricane Season' is between 1 June and 30 November each year. Historically, the Cayman Islands have not received threats of hurricanes until much later in the season, usually around September and October. However, the weather is monitored very closely throughout the season.

Refunds Available If a Hurricane Cuts Your Trip Short

If the Cayman Islands Government or Cayman Islands National Hurricane Committee issues a ‘Hurricane Warning’ and visiting guests on island are asked to return home or are evacuated, then Cayman Villas will refund any unused nights remaining on their reservation less a US $200.00 Administration Fee. Should a guest choose to remain on island, please note that they will do so at their own risk and Cayman Villas, the property owner, and the Property Manager will not be held liable.

If there is not an official request by the Cayman Islands Government, for visiting tourists to evacuate the island, but the guest decides to leave anyway, then Cayman Villas will hold funds on file, from any unused nights, for a future booking at the same property within a 12-month period, less the US $200.00 Administration Fee.

Some Fees Apply For Trip Alteration Due to a Hurricane

If, due to an impending hurricane, the Cayman Islands Government or the Cayman Islands National Hurricane Committee closes the Owen Roberts International Airport, thus not allowing access to commercial airlines and travellers/tourists, Cayman Villas will either offer to change the dates of the reservation, with no penalty, or cancel the booking and refund the funds held on file for the reservation, less a US $100.00 Administration Fee, to guests that are affected.

If the Cayman Islands are affected by a hurricane, but the island is still operating as normal, and the villa in question is damaged, Cayman Villas will do our best to find alternative comparable accommodations. If we are unable to do so, we will cancel the booking and refund the client their deposit, less a US $100.00 Administration Fee. Otherwise the regular cancellation policy applies.

If the Cayman Islands are affected by a hurricane but the island is still operating as normal, and the villa booked is unaffected, should the guests choose not to come to the island, the regular cancellation policy will apply. All bookings are treated on a case by case basis.

If the Cayman Islands are affected by a hurricane, but the island is still operating as normal, and the villa booked is unaffected, should the guest wish to change their dates, Cayman Villas will do so for the regular US $250.00 revision fee.

*Cayman Villas has the right to assess each situation & reservation individually, due to the unpredictable nature of hurricane season. Cayman Villas, the Property Owner, and the Property Manager/Housekeeper, will not be held liable for any injury or loss to guests and their belongings during their stay, because of any weather conditions.
